Terms of Service

The service

Ringo Retail is software for retail stores: an AI phone assistant that answers calls, checks stock and places holds, plus a store app for inventory, sales reports, scheduling, timesheets, tasks, purchasing, customers, marketing and related tools. Features depend on the plan you choose.

Plans and billing

Plans are billed monthly per store, plus a one-time setup fee shown at checkout. Plans are month to month and can be cancelled at any time with no cancellation fee. Phone minutes beyond your plan, add-ons and extra locations are billed as shown in the app. Prices may change with 30 days' notice.

Your accounts and connections

You connect accounts you own, such as your point-of-sale system (Square, Shopify, Clover, Lightspeed Retail (X-Series)), QuickBooks Online (coming soon), Gusto, Google or Microsoft. You give Ringo Retail the access you choose and can remove it at any time. If you turn on stock write-back, the app changes stock counts in your point-of-sale system when you count, receive, transfer or adjust stock in the app. You are responsible for checking that counts and prices are correct.

Payroll and time records

Ringo Retail keeps time punches, timesheets and pay rates you enter, calculates hours and overtime using the rules you pick, and can export or send hours to your payroll provider. It does not run payroll, pay employees, withhold or file taxes. You are responsible for reviewing and approving timesheets and for following wage-and-hour laws.

Your responsibilities

Give accurate business information, use the service lawfully, get any consent required to call or text your customers and employees, and only add people to AI ads (avatars or voice copies) who are you or who gave you written permission.

Your data

You own your store's data. You can export it from the app at any time. When you cancel, we stop the service and delete your store data after a short grace period, as described in the Privacy Policy below.

AI and reports

The AI assistant, reports, forecasts and suggestions (for example reorder amounts, schedules and labor costs) can be wrong. Check important numbers before acting on them. We do not guarantee particular business results.

Liability

To the extent allowed by law, our total liability for any claim is limited to the fees you paid us in the three months before the claim, and we are not liable for indirect or lost-profit damages.

Changes

We may update these terms and will post the new date above. Continuing to use the service after a change means you accept it.

Privacy Policy

What we collect

Store owners and staff: names, emails, phone numbers, roles, and, if the store uses these features, work schedules, time punches, break times, pay rates, tips, time-off requests, availability, clock-in PINs (stored scrambled) and, only if the store turns on location check, the device location at clock-in.

Store business data: products, prices, costs, stock counts, sales and order details imported from the store's point-of-sale system (including items, totals, discounts, tax, tips, payment type and the employee who made the sale), purchase orders, vendors, expenses, tasks, checklists and the app's change history.

The store's customers and callers: name, phone number, email, purchases, holds, special orders, repairs, loyalty points, store credit, gift card balances, birthday (if given) and text messages. Calls to a store's Ringo line may be recorded and transcribed.

Website visitors: what you type into chat or demo forms.

We do not collect payment card numbers. Card payments are handled by the store's point-of-sale provider or by Stripe.

How we use it

Only to run the service for the store: answering calls, holds and texts, reports, schedules, timesheets and payroll exports, reminders, and support. Store data is never used to market to a store's customers except by that store, through features the store turns on.

Who we share it with

We do not sell personal information. We share data only with providers that run the service (Cloudflare for hosting and AI, Retell for phone calls, Twilio for texts, Resend for email, Stripe for billing, HeyGen and ElevenLabs for AI ads) and with the accounts the store connects (for example its POS, QuickBooks or Gusto), only as needed. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.

Security

Data is encrypted in transit, access is limited by role (for example, crew members cannot see pay rates or costs), sign-in uses one-time codes, and API keys are stored scrambled. Changes are recorded in a change history the store can review. Daily backups are stored in private, encrypted storage and are never sent by email. More on our Security page.

Keeping and deleting data

Store data is kept while the account is active. The change history is kept for the period the store sets (one year by default). After cancellation, store data is deleted 30 days later, and our daily backups (kept for 60 days) roll off after that. Employees and customers can ask the store, or us, to see or delete their information.

SMS Terms

Program: Ringo Retail Store Alerts. Each store using Ringo Retail texts from its own registered phone number, under the store's name. Stores send transactional texts such as hold confirmations, "ready for pickup" and hold reminders, back-in-stock notices, repair updates, a single text after a missed call (only if the store turns that on) and replies to your request. Staff may receive schedule, shift and task alerts. Marketing texts (for example birthday offers, loyalty rewards, win-back and promotions) are sent only if you separately agreed to receive marketing texts from that store.

Opt in: during a call, chat, on the store's website (an unchecked box you tick) or at the store, you're asked whether you'd like text updates; marketing texts need a separate yes. The store keeps a record of when and how you agreed. Consent is not a condition of purchase. Frequency: varies. Message and data rates may apply. Help: reply HELP for the store's name and how to reach it. Opt out: reply STOP at any time to stop all texts (updates and marketing) from that store; reply START to resubscribe. Carriers are not liable for delayed or undelivered messages.

Texting registration: a store's texting number is registered with the carriers (10DLC) using the store's business details before it can text customers, which typically takes 1–3 weeks. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Questions: support@ringoretail.com.
